Administrative Assistant - North Wales

Performs office functions such as setting up and maintaining files; answering calls and e-mails; directing callers to appropriate organizational staff; arranging meetings, conferences and travel; receiving, referring and answering mail.  Reviews and prepares documents for distribution within and outside of the organization; provides customer service and answers questions related to office operations and established policies and procedures.
Gathers, compiles and reports on information relevant to assignments. Update and maintain Project Plans at the direction of Project Leaders. Produce progress reports that enable the Project Leaders to effectively manage projects. Coordination of Project Databases within the Global Project Management Department.  Provision of high quality administrative services to ensure the Global Project Leaders are fully briefed and prepared and that their workloads are co-ordinated to facilitate effective use of their time.
Timely maintenance of Project Leaders diaries.

Provides high levels of customer service; maintains records, compiles reports and information;  has a high level of interaction at many organizational levels.

Infrequent domestic travel required.  Less than 5% of time to local facilities.

Essential Duties & Responsibilities

1. Provides administrative support to the manager and additional department members such as, telephone coverage, routine correspondence, appointment scheduling, travel arrangements, expense report preparation, mail and fax distribution and development of PowerPoint presentations.  Organizing meetings and event planning.
2. Assists with information gathering, report preparation and creation of
presentations. 
3. Answers questions regarding departmental or general organization information.  Refers callers/inquiries to appropriate source for more in-depth questions.
4. Maintains department files; completes required department paperwork; processes invoices, assists with department budget preparation.  Audits department files for accuracy and completeness.
5. Follows Safety, Health, and Environmental policies and procedures.
6. Other projects and duties as required/assigned
Requirements Education Required: High School diploma or GED required.
Education Preferred Formal training in office procedures or current software systems is helpful.

Experience Required: Three years related office experience is required.
Experience Preferred: Minimum one year previous related experience in similar department/function Specialized or Technical Knowledge Licenses
Certifications needed: Strong computer skills in current software programs including Word, Excel, and PowerPoint are required.  

Physical Requirements

1. Able to sit for extended periods of time
2. Able to use general office and telecommunications equipment
3. Capable of meeting employee attendance requirements

This is a 4 month temporary opportunity for the right candidate

Pay rate: $18-$21/hr
