Unique opportunity for an experienced administrative assistantwho is ambitious, organized and highly skilled in database work as well creating unique presentations (including graphics). This position will serve as the primary administration support function for the Director and his Direct Reports including reporting, correspondence, telephone, scheduling, travel arrangements and related duties.
Job Responsibilities:
Oversees and/or performs a range of diverse administrative actives for the Department or organizational unit, includes travel arrangements, customer service support and general Administrative support
Utilizes knowledge and understanding of underlying operational issues to create, compose and edit technical and/or administrative correspondence and documentation
Assists in administrative problem solving, program/project planning, development, and execution of stated goals and objectives
Researches information, compiles statistics and gathers and compute various data, prepares special and / or one-time reports, summaries or replies to inquires, and selects relevant data from a variety of sources
Provides and/or oversees support activities for the unit such as answering telephones, assisting and resolving problems and inquires of visitors, review and control of incoming and outgoing correspondence, and follow up on operational commitments
Schedules appointments and maintains, calendars, schedules coordinates and facilities meetings, facilities usage, events and/or travel arrangements as required
Establishes, updates and maintains files for the Department
Performs miscellaneous job related duties as assigned
Job Qualifications:
Minimum of 5 years of relevant business experience
Excellent MS Word and Advanced PowerPoint, Excel knowledge required; Lotus Notes preferred
Strong written and verbal communication skills
Strong organization skills
Able to work independently to complete assignments with minimal supervision
Ability to prioritize and multi task with attention to detail
